Position Title: Executive Assistant/Office Manager
Location: New York
POSITION REPORTS TO: Chief Sales Officer
POSITIONS SUPERVISED: N/A
POSITION PURPOSE: This position will be responsible for assisting the Executive Managers in many phases of the operations of the business including, but not limited to; managing the online customer service queue, appointment and meeting setting, answering and directing calls, filing and organization.

POSITION PURPOSE: This position will be responsible for assisting the Executive Managers in many phases of the operations of the business including, but not limited to; managing the online customer service queue, appointment and meeting setting, answering and directing calls, filing and organization.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Administrative/Executive Assistant Responsibilities:- Answer all direct incoming calls, including outing calls to other departments
- Welcome visitors
- Schedule and organize meetings, calendars, bi-weekly expense reports, luncheons, dinners, organize travel, and conference calls
- Prepare for office meetings (Set up meeting rooms and any media needed; Coordinate snacks / meals / reservations for clients)
- Provide administrative support/assistance to Executive Managers
- Maintain Customer Service queue and organize and control prize give-a-ways and promotions
- Other tasks as assigned
- Manage all general office and operational needs and maintain strong vendor relationships
- Assist in maintaining a professional organized look to the reception area
- Order and keep stock of office and kitchen supplies
- Contact building management on any issues pertaining to our company/office
- Process and track all incoming or outgoing mailing/shipping items
- Maintain/update, internal phone lists, and emergency contact list
- Assist on all other projects as needed from other departments
- Other tasks as assigned
QUALIFICATIONS
- Excellent time management, organizational and oral and written communication skills are required
- Must possess a strong ability to multitask and prioritize in a fast paced environment
- High energy, enthusiastic and flexible attitude
- Professional demeanor
- High level of computer skill is required including MS Excel, MS Word, MS Outlook, MS PowerPoint
- 1-2 years administrative assistant experience preferred
